Privacy policy

1. What we collect
- Account: email, name (optional), phone (optional), org name, role.
- Compliance: station info, tank info, daily readings, permits, license records, walkthrough checklists, photos you upload.
- Billing: we never see your card number; Stripe handles that. We store a Stripe customer ID + billing status.
- Telemetry: page-load timing and crash reports via Sentry. Behavioral events via PostHog (anonymized after 90 days).
2. How we use it
- To operate the service (show you your records, send you reminders, generate PDFs).
- To send compliance deadline emails (you can opt out — but you'll miss deadlines).
- To audit our own platform (every write to your records is audit-logged).
- To diagnose bugs (Sentry/PostHog data is purged after 90 days).
3. Who we share with
- Your Operator (regional partner): has read access to your records to provide local support.
- State / federal regulators on inspection: only via share links you generate yourself; we don't proactively share.
- Subprocessors: Supabase (hosting + Postgres), Stripe (billing), Resend (email), Twenty (CRM — used by Operators), ERPNext (billing ops). All are bound by data-processing agreements.
- We do not: sell your data, share it with marketing partners, or use it to train AI models.
4. Where it lives
AWS US-West-2 via Supabase. Daily encrypted backups. Compliance records are retained 5 years per regulatory requirement (see Terms §4); personal data is deletable per §6 below.
5. Your rights
- Access: sign in and you see everything we have on you.
- Export: any time, via in-app "Export my data" (full ZIP).
- Delete personal data: any time, via in-app "Delete account" (60-day grace; regulatory records anonymized per Terms §4).
- Correct: all profile + station info is editable in-app.
- California / GDPR residents: same rights as above; contact us if you need a structured CCPA / GDPR DSAR.
6. Children
The service is not intended for users under 18. We don't knowingly collect data from minors.
7. Changes
Material changes will be announced via in-app banner and email 30+ days before taking effect.
